Our client is looking for an Administrator / Office Manager for their commercial decoration business.

About the Company:

Our client are a well-respected contractor specialising in Maintenance, Restoration, Painting & Decorating and refurbishment projects with offices in London and North Hampshire. Covering London and the South working for a diverse client base including English Heritage, Housing Associations, NHBC & Main contractors.

Vacancy Details:

We have a vacancy for an Administrator & Office Manager for their London office. The individual must have confidence, flexibility and the ability to use their initiative. This is a responsible position with a varied work load.  The individual must be highly organised and able to manage their time productively. The responsibilities include:

Office:

  • Answering, screening, and forwarding any incoming calls
  • dealing with couriers, deliveries, and visitors. Informing relevant parties of their visitor’s arrival
  • Checking post room daily and sorting any outgoing post
  • Maintaining security by following procedures and monitoring signing in/out records
  • Filing, photocopying, collating, scanning, and printing a variety of documents
  • Managing day to day general office tidiness/facilities and being main point of contact with building managers
  • Ensuring all office compliance is upheld i.e., air conditioning, fire extinguishers and general office management with Workspace and HSEQ guidance
  • Organising annual portable appliance testing (PAT) and fire extinguisher checks

Administration:

  • Maintaining stock level of branded clothing (polo shirts, fleeces) and all Personal Protective Equipment.
  • Managing the absence calendar and individual whereabouts.
  • Organising meetings rooms
  • Categorising, bar coding and archiving all old projects plus updating referencing spreadsheet.  Organising shipment
  • Creating project and site files for new projects
  • Being a point of contact for IT issues
  • Field View and weekly reports to be filed on Teams in their respective folders
  • Coordinating monthly contracts meetings, compiling presentation and minute taking
  • Liaising with estimating Team by forwarding on any emails coming in for tenders
  • Uploading and calibrating drawings on Fieldview for all projects
  • Booking Accommodation

Requirements:

Successful applicants will have prior experience of an administration / Document Control orientated role in a construction environment. The individual will be organised and high efficient. Strong interpersonal and communication skills are required.

Remuneration:

Remuneration will be extremely generous. We base salaries on the experience and abilities of each professional but offer beyond the typical level in industry. You can expect basic salaries from £20,000 to £27,000.
